Terms and Conditions

These Terms and Conditions govern the use of the UCLA BruinLife Photo Studio and all photography services provided by BruinLife. By scheduling or participating in a photo session with the BruinLife Photo Studio, you agree to the following terms.

Eligibility

The BruinLife Photo Studio primarily serves the UCLA community, including students, faculty, staff and recognized student organizations. Services may be limited based on staffing availability and editorial priorities.

BruinLife reserves the right to decline or reschedule requests based on availability, editorial needs or violation of these terms.

Appointments

Photo sessions must be scheduled through the official BruinLife booking system or through a BruinLife Studio staff member either in person or over the phone.

Participants must arrive on time for their scheduled appointment. Late arrivals may result in a shortened session or cancellation depending on studio availability.

If you need to cancel or reschedule your appointment, please do so 36 hours prior to your scheduled appointment in order to get a full refund on your session fee. Cancellations and rescheduling done after the 36 hour window will result in your session/sitting fee being forfeited.

Studio Use of Images & Copyright

Photographs taken by BruinLife Photo Studio are exclusive property of BruinLife Photo Studio and may be used for:

  • Sample materials related to BruinLife or UCLA Student Media (the parent org)
  • Social media channels operated by BruinLife for promotion usage

Participants grant BruinLife and UCLA Student Media permission to use, reproduce, and publish images taken during the session for promotional purposes.

If a participant requires restricted use of images, this must be communicated before the photo session.

Personal Use of Images

Participants will receive copies of photographs taken during their session with watermarks as part of the proofing process. These watermarked images may not be used for any other purposes other than proofing purposes.

Attempts to remove the watermark from images is prohibited.

Unless otherwise specified, clients when purchasing prints may use the images for personal, academic, or professional use, including:

  • LinkedIn or professional profiles
  • personal websites
  • portfolios
  • resumes or applications

Images may not be sold, licensed, or used for commercial advertising without written permission from BruinLife Photo Studio.

Photo credit to BruinLife Photo Studio is appreciated when images are shared publicly.

Image Editing and Delivery

BruinLife photographers may provide basic editing, including:

  • color correction
  • cropping
  • exposure adjustments

Advanced retouching or extensive editing may not be available due to staffing and production timelines.

Image delivery timelines may vary depending on studio workload.

  • Typically 2-3 business days for proofs
  • Typically 15-20 business days for print orders
  • Typically 7-10 business days for digital orders

High-Resolution: Purchased digital files are deliverable in High-Resolution (or known as High-Res) are 300DPI

Conduct and Studio Use

Participants are expected to behave respectfully toward BruinLife staff, photographers, and equipment.

The following are not permitted in the studio:

  • illegal substances
  • hazardous materials
  • disruptive or unsafe behavior

BruinLife reserves the right to end a session if these standards are not met.

Personal Property

Participants are responsible for their own personal belongings brought to the studio.

BruinLife and UCLA Student Media are not responsible for lost, stolen, or damaged items.

Liability

By participating in a photo session, participants acknowledge that photography equipment, lighting, and studio environments may involve minor risks.

Participants agree to follow instructions provided by BruinLife staff to ensure a safe environment.

Customer File Retention

 BruinLife keeps client files for up to a minimum of 2 years after the photography session, and is not liable for any claims after this period. All client files will may be deleted and backups may be purged after this period.

Changes to Terms

BruinLife reserves the right to update or modify these Terms and Conditions at any time.

Continued use of the BruinLife Photo Studio after updates constitutes acceptance of the revised terms.

Text Message & Communication

BruinLife Photo Studio collects your phone # as part of the appointment booking process. By making an appointment with our studio, you consent to getting communication with us via both email and text message.

You can cancel the SMS service at any time. Just text “STOP”. After you send the SMS message “STOP” to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.

Carriers are not liable for delayed or undelivered messages

As always, message and data rates may apply for any messages sent to you from us and to us from you. You will receive messages regarding upcoming appointments, order updates and promotional sales that may apply to the type of photo session you booked. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.
